Who we are

Action on Carbon and Energy in Schools is a project delivered by the Environmental Information Exchange (EiE) team at Oxford Brookes University and Low Carbon Hub and funded by Oxfordshire County Council. Oxfordshire County Council are the data controllers for the project and EiE and Low Carbon Hub are the data processors.

The type of personal information we collect

We currently collect and process the following information:

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

We use the information that you have given us to provide information about the ACES programme and respond to queries.

We may share this information with project partners, Oxford Brookes University and Low Carbon Hub to help deliver the programme.

We use your information in compliance with the data legislation, principally: The Data Protection Act 2018 (DPA2018) and the UK General Data Protection Regulations (UK GDPR)

When we use your information, we will do so with the lawful basis and appropriate safeguards of:

(a) Your consent. You can remove your consent at any time by either contacting info@ace-schools.org or clicking ‘unsubscribe’ at the bottom of any marketing email you receive from us.

(b) We have a legitimate interest.

How we store your personal information

Your information is securely stored.  We sometimes use third parties to deliver some of our services and so please see their privacy statements (below) about how they store information.

Mailing list: We keep your contact information including name, school name, position at school, and email in Mailchimp. We will store records for two years (the length of the project) and then dispose your information by deleting the record from Mailchimp unless permission is sought otherwise.

Project management: to deliver the project, we use cloud-based software BOX for file management and information sharing between partners. We keep your contact information, correspondence information and information on any services you may have used. Only staff who need access have it. We will store records for two years (the length of the project) and then dispose your information by deleting the record from BOX unless permission is sought otherwise.

Event management: We use Eventbrite to register people for events. We keep your contact information and what events you have registered for in Eventbrite and BOX for two years.  We will dispose of your information by deleting the records from Eventbrite and Box.

Surveys: we may occasionally send out surveys to improve the service and get feedback. We will keep responses, and possible contact information, in Typeform and Box for two years. We will dispose of the information by deleting the records from Typeform and Box unless permission is sought otherwise.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
